JOB TITLE: Administrative Assistant       

DEPARTMENTS: Region Development Department

DIVISION: Corporate

Job SummaryResponsible for providing administrative support for the Region Development department, including the sanction and insurance processes for all events.

Essential Duties and Responsibilities:

The following statements are illustrative of the essential functions of the job and do not include other nonessential or peripheral duties that may be required.  SCCA retains the right to modify or change the duties or essential functions of the job at any time.

  • Manage region event calendaring process.
  • Maintain annual event schedule in NetForum, SportsCar Magazine and on
  • Assist with the pre- and post-event sanction and insurance processes for all SCCA and SCCA Pro Racing events.
    • Process sanction requests
    • Issue Event Insurance Certificates
    • Maintain and oversee distribution of forms
    • Process and track event audits and payments Process and distribute Observer Reports
    • Process and distribute Incident Reports
    • Driver file documentation
    • Record keeping and data reporting
  • Assist in the maintenance of program forms, guidelines and information on
  • Process material requests including sanction packets.
  • Respond to or refer program inquiries to appropriate staff.
  • Assist in administration of program conference calls, as needed.
  • Assist with national event revenue and expense tracking.
  • Assist with championship events as required.
  • Perform other related duties as required.

    Experience and Training:

    • Minimum Education:  Associates Degree or equivalent
    • Special Training or Experience:  Familiarity with SCCA programs or similar motorsports experience. Communication skills, data entry skills, research understanding, problem solving, and customer service experience.

      Reporting Relationships:

      • This Position Reports to:  Assistant Manager of Administration

        Environmental Requirements:

        • Work is conducted in an indoor business environment.  Some exposure to unfavorable conditions may be encountered during travel for business requirements to race facilities across the United States.

        Physical Requirements:

        • Requires walking 5% of the time, standing 15% and sitting 80% of the time
        • Ability to lift, carry, push, or pull 10 pounds on a daily basis
        • Ability to participate in high level as well as routine conversation
        • Conditions may require work in low and bright light; use of near and far vision acuity; use of depth perception, color sensitivity, and a field of vision (peripheral vision)

        Other Requirements:

        • Ability to understand verbal information and instruction.  Ability to exchange information with others and to develop and present recommendations.
        • Ability to read and understand complex written information.  Ability to compose information and instruction in written form.
        • Ability to translate verbal communication into effective written material; e.g., reports and other documents.
        • Ability to use and apply technology.  Extensive experience using Microsoft Office programs including Excel, Word, Outlook and Internet browser software is required.
        • Potential attendance of up to two events per year.

        Salary commensurate with experience. Position will start around October 2021.
